Office Manager & Administrator
Salary: TBC
Job Type: 20 hours per week
Location: Office based, central Edinburgh
We are a growing law firm seeking a proactive and organised Office Manager& Administrator to support our team. This role is crucial in managing the back office, allowing our solicitors to focus on providing expert legal advice to clients. The ideal candidate will be confident in handling sensitive enquiries, empathetic when dealing with prospective clients, and highly efficient in administrative tasks.
Key Responsibilities:

Be the first point of contact for prospective clients, handling telephone and email enquiries with professionalism and compassion.

Gather and summarise key information to assist the practice in assessing new client matters.

Provide administrative support using Microsoft Office 365.

Assist clients with basic enquiries, including timescales and fee structures.

Manage client onboarding, including anti-money laundering checks (via Amiqus).

Oversee diary management and appointment scheduling.

Handle financial administration, invoicing, and debtor management (using Clio and Xero).

Maintain accurate and confidential documentation in compliance with legal standards.
About You:

Highly organised, detail-oriented, and proactive in managing administrative workflows.

Confident communicator, especially on the phone, with the ability to engage sensitively with clients who may be in distress.

Comfortable working independently in a deadline-driven environment.

Experience in financial administration and office management systems (Clio, Xero, Microsoft Office 365) is desirable.

Knowledge of basic HR procedures and experience within the legal industry would be advantageous.
