Job description

As Administrative Assistant, you will be responsible for supporting the on-campus team to provide a high-quality programme and curriculum to our students. Administrative Assistants are a key role in our summer teams supporting Academic managers and staff while on campus by assisting in daily office needs and managing general administrative activities.

In this role you will perform a variety of administrative and clerical tasks including:

  • overseeing the organisation and maintenance of office records across spreadsheets, databases, network storage and filing systems
  • act as a liaison between Academic and Non-Academic teams ensuring the accurate transfer of information
  • assist the Director of Studies with the use of the Google drive to record, organise and manage the academic programme: classing of students, allocation of classes/classrooms, creation of class lists, registers
  • assist with printing of students’ certificates after ensuring accuracy.

This role will be a great way to practice skills and gain real world experience to help you in future employment.

Knowledge, Qualifications and Skills

Essential Requirements

  • Good National 5/Standard Grade/GCSE in English.
  • Up-to-date knowledge of Microsoft Office Suite, including Word, Excel PowerPoint and Outlook.
  • Working knowledge of the activities of the company as relevant to the role.
  • Understanding of Company policies and procedures relevant to the role.
  • Excellent oral and written communication skills, including tact, diplomacy and discretion.
  • Outstanding interpersonal skills with confidence to deal in a courteous manner with people at all levels within and out with the Company.
  • Highly proficient in the use of Outlook, Word, Excel and other standard IT packages.
  • Ability to plan and prioritise own workload effectively.
  • Proactive approach to problem solving.
  • Ability to work accurately and with attention to detail.

 

Desirable Requirements

  • Experience of using Google Workspace: Drive, Sheets, Docs, Forms, Slides.
  • Experience of working under pressure with tight deadlines.
  • Previous Summer School Experience.

Salary

Weekly salary: £543.54 per week (inclusive of accommodation + meals)

£485 + £58.54 holiday pay (per week = 42 hours within 6 days)

(Total £543.54 per week before tax and national insurance deductions)

 

Contract hours – Full time or part time 42 hours per week within 6 days: Monday – Saturday

 

 

Hours of Work

Working hours are spread over 42 hours a week. Please note, working hours may vary according to the needs of the campus and your working week may be 5 or 6 days including Saturday. You may be required to work in excess of 48 hours per week.

 

Safeguarding and Child Protection

In accordance with British Council accreditation criterion S4, you must provide a Disclosure (PVG from Disclosure Scotland /’Enhanced’ from Disclosure and Barring Service in England) and that this must be dated within three months from the start date of employment. If you have been working abroad, you must provide the equivalent ‘police check’ from that country. Whichever one you choose to supply; it must be specific to your suitability to work with under 18s. Disclosure checks made through St. Andrew’s College Language Schools are payable by the employee (£18 to £59). The Company reserves the right to deduct the cost of these checks as soon as the process has started and regardless of the completion of the process. The company reserves the right to carry out PVG checks for all employees who don´t provide a suitable disclosure, unless otherwise requested by the candidate on acceptance of the job.

You must also provide an email address and contact telephone number of 3 referees who can verify your suitability for the post and suitability to work with those aged -18. One of which can be a character reference.

Please bear in mind that the procedure to receive a disclosure check can take up to 18 weeks. In the event your disclosure is still pending at the commencement of your employment, you must agree to comply with St Andrew’s College Language Schools, Safeguarding and Recruitment Policy.
